Information we collect

We only capture data that helps you discover relevant events or lets us operate the platform safely.

• Account details: name, email address, password hash, biography, speaking topics, timezone, notification choices.
• Product usage: pages and events you view, favorites, search filters, feedback on recommendations, approximate location (based on IP), device/browser information.
• Billing & communications: subscription tier, invoices, payment processor tokens, support conversations, survey responses, and email preferences.

We also create derived metrics (for example, how many submissions are pending) to power dashboards. Those derived values are tied to your profile but are easy to remove if you delete the account.

How we use your information

• Provide the core service: personalized conference matches, deadline reminders, calendar exports, and saved events.
• Operate the business: customer support, payment processing, fraud prevention, debugging, and analytics.
• Communicate with you: onboarding tips, product updates, marketing (only if you opted in), and mandatory notices such as subscription changes.

Every use maps to a lawful basis: contract (delivering the product), legitimate interest (security, analytics), consent (marketing, beta feedback), or legal obligation (tax, accounting, regulatory requests).

Sharing & international transfers

We never sell personal data. We share it only with vetted processors who help us run the platform:

• Infrastructure, analytics, and monitoring providers (hosting, error tracking, product analytics).
• Payment providers to manage subscriptions and detect fraud.
• Professional advisors (legal, security, accounting) under confidentiality commitments.

If data leaves the UK/EU we rely on Standard Contractual Clauses or other officially recognized safeguards and regularly review vendor posture.

Retention & deletion

We keep personal data while you have an active subscription. After cancellation we archive key records for up to 24 months to comply with tax rules, defend legal claims, or help you reactivate faster. You can request earlier deletion; we will remove everything except what we are legally required to retain (for example, invoices).

Your choices & rights

• Access/export: email [email protected] to receive a portable file of your data.
• Rectify/update: edit information directly in account settings.
• Erase/restrict: request deletion or pause processing—we will confirm completion and timelines.
• Object/opt out: stop marketing communications via unsubscribe links or settings; essential emails will still arrive.
• Complain: contact the New Mexico Attorney General's Consumer Protection Division or your local regulator if you believe we mishandled data.

Security & responsible AI

We encrypt data in transit and at rest, segment production networks, follow least-privilege access, and review logs for abuse. AI-generated recommendations are kept inside your workspace; models are trained on anonymized, aggregated data so that your submissions stay private. No security program is perfect, so notify us immediately if you suspect unauthorized access.

Changes to this policy

We'll update this page if regulations, product features, or processors change. Material updates will arrive by email or in-app notice at least 30 days before they apply.
